Users can be given read-only or edit permissions to draft HTML documents on an individual basis allowing them access to a document while changes are being made. This feature can be helpful when an Admin does not want to give full access to a user for all documents in a document type but would like their input on one or a few documents.

How to Grant Read Only Permissions to Users
Read only permissions allows a user to view a draft document. The user will not be able to make edits. The documents will display on the Policy Listing and Work In Progress screen for the user.
Note: If a user is given permission in multiple policy types, they will be able to switch between them using the drop-down menu on the Work In Progress screen.

  1. Hover of the Policies tab
  2. Click on Work In Progress
  3. Select Policy Type in the drop-down menu
  4. Click on Select Users under the Read-Only Permissions column for the document you wish to grant permissions to
  5. A pop-up box will open listing all users, select user(s)


  6. When finished, click Save and Close
    Note: 
    You will not be able to click on Save and Close until a user is selected.

How to Grant Edit Permissions to Users
Edit permissions allows a user to view, edit, and save changes to a document. The documents will display on the Policy Listing and Work In Progress screen for the user.
Note: If a user is given permission in multiple policy types, they will be able to switch between them using the drop-down menu on the Work In Progress screen.

  1. Hover of the Policies tab
  2. Click on Work In Progress
  3. Select Policy Type in the drop-down
  4. Click on Select Users under the Edit Permissions column for the document you wish to grant permissions to
  5. A pop-up box will open listing all users, select user(s)
  6. When finished, click Save and Close
    Note: 
    You will not be able to click on Save and Close until a user is selected.

How to Revoke Read Only or Edit Permissions to Users
The instructions on revoke read-only or edit permissions were combined in this section since the process is the same. Be sure to click on the correct Select Users link depending on the permision you are working with.

  1. Hover of the Policies tab
  2. Click on Work In Progress
  3. On the WIP screen, click on Select Users under the Read-Only or Edit Permissions column
  4. A pop-up box will open listing all users, deselect users
  5. When finished, click Save and Close
